Who we are
Teatime Robotics runs robotics teams, workshops and VEX competitions in the UK. We are responsible for the personal information you give us through this website.
If you have a question about this notice or your information, email info@teatimerobotics.org.

Please only tell us what we need. Our forms do not ask for a date of birth, and our enquiry forms do not ask for a child’s name. Please do not send medical details through this website.
Children and young people
Students aged 13 or over can make an enquiry themselves. For younger students, a parent, carer or teacher should make the enquiry and give their own contact details. Parents and carers can contact us at any time about information we hold about their child.
How we use your information
- To read and reply to your message or enquiry, and to discuss suitable options, availability and quotations.
- To send you a confirmation email when you make an enquiry.
- To consider your story or resource for the Tea Room. We will only publish a story with your permission.
- To make arrangements for a session or event if you tell us about access, learning or other support needs.
- To send you news and event updates if you sign up to our newsletter.
Our legal reasons
Under UK data protection law, we rely on your consent when you tick the box on a form or sign up to our newsletter. You can withdraw your consent at any time. We also rely on our legitimate interests in responding to enquiries and running our activities, and on taking steps you ask for before an agreement, such as preparing a quotation. If you tell us about a health or access need, we only use it, with your consent, to support you.
Who we share it with
We do not sell your information. Only Teatime Robotics staff can read what you send us. We use trusted service providers to run this website, including Wix, which hosts the site and stores form submissions and sends our emails, and Apple iCloud, which provides our email. These companies may process information outside the UK. Where they do, we rely on them to use the safeguards UK law requires.
We may also share information if the law requires us to, or to protect a young person’s safety.
How long we keep it
We keep enquiries and messages for as long as we need them to respond and to make any arrangements, then delete them when they are no longer needed. You can leave our newsletter at any time, and we will stop sending it.
Cookies and similar technology
This website uses cookies and similar technology that it needs to work, including keeping forms secure. We do not add advertising cookies to this website. Wix, which hosts the site, may also set its own essential cookies.
Your rights
You can ask us to:
- Give you a copy of the information we hold about you.
- Correct anything that is wrong.
- Delete your information.
- Limit how we use it, or stop using it.
- Give you your information in a format you can pass to someone else.
Email info@teatimerobotics.org and we will respond within one month. If you are unhappy with how we have used your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk.
